What we collect

We collect the information needed to run the studio safely and accurately: your name, birthday, phone number, email, emergency contact, waiver acceptance, attendance, reward points, and basic payment-record details.

How we use it

We use this information to recognize returning clients, record attendance, manage rewards, support studio safety, track admissions, and maintain accurate business records.

Payments

Actual card charges are handled through the studio’s connected Acuity and Square services. This check-in app records only the payment method, amount, status, and who collected it. Full card numbers are never stored here.

Who can see it

Client details are available only inside the password-protected administrator dashboard for authorized Timeless Ballroom staff. The public check-in screen does not display the client database.

Who controls the records

Timeless Ballroom controls and administers the client and studio records collected through this app. Our hosting providers process those records only to operate and support the app. Clients retain the privacy rights provided by applicable law, including applicable rights to request access, correction, or deletion.

Your choices

Ask the front desk if you need to review, correct, or request deletion of your information. Certain business, legal, and safety records may be retained when required or permitted by law.
